The Stitch Factory Ltd, trading as Active Uniforms ("we", "us", "our"), is committed to protecting your personal information. This policy explains what data we collect, how we use it, and your rights under UK GDPR.
Information We Collect Automatically
When you visit our website we automatically collect certain device information, including your browser type, operating system, and IP address. We use cookies to collect browsing data such as pages visited, products viewed, and links clicked. Cookies required for basic ecommerce functionality — keeping your basket, processing your order, keeping the site secure — are set automatically. Analytics and marketing cookies are used to understand how the site is performing and to improve it.

When you place an order, request a quote, or create an account, we may collect:

- Delivery and billing address
- Email address and telephone number
- Artwork, logos, and design files you send us for decoration
- Payment information — card details are never stored on our servers. Our payment processor returns a secure token and we retain only the last four digits and the card type for reference
How We Use Your Information
- To process and fulfil your orders, including decoration work
- To send order confirmations, dispatch notifications, and tracking details
- To respond to enquiries and prepare quotations
- To prevent fraud and to improve our website
- To send marketing communications, where you have given consent — you can unsubscribe at any time using the link in any marketing email
Sharing Your Information
We share your information with third-party service providers who assist with order fulfilment, delivery, payment processing, and website operation. Our website is hosted by Shopify. We may also disclose information where required by law. We do not sell your personal data.
Artwork and Logos
Artwork you supply for decoration is stored so that we can reproduce it on repeat orders. If you would like your artwork deleted from our records, contact us and we will remove it, subject to any order still in production.
How Long We Keep Your Data
We keep your personal data only for as long as necessary for the purposes set out above. Order and transaction records are normally retained for six years, in line with UK tax and accounting requirements. Marketing contact details are kept until you unsubscribe.
Your Rights
Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to how we use it, to receive a copy of it in a portable format, and to withdraw consent for marketing at any time.
